In the past, if any worker resigns, he or she needed to explain the storage path to the new employee, particularly the documents which have been seldom used. Notwithstanding, now, the common documents may be found easily in the directory for the relevant department, and the documents which are seldom used or the inter-department documents may be searched only based on keywords. It is not necessary to verify the location of the documents. This has improved the work efficiency significantly, as in the past it was possible to find the information only after consulting with many persons for two or three days, but it only takes few seconds now.
Besides, only the documents subject to the personal privilege will be displayed in the search results, while sensitive documents are still excluded from the search list.
By keyword search, one may find the latest and most correct documents. Meanwhile, by version comparison, the difference between the latest version and any other one may be verified immediately to ensure the accuracy and exclusivity of the documents accessed by workers upon each revision of version.
In the past, various units were used to asking the IT Center via phone to activate the privilege for some file folder. Notwithstanding, Vitals ESP may delegate the privileges for browsing, downloading and edition of documents to the management of various units, allowing the various units to control the privilege on their own. Therefore, IT Dep. may save its human resources and also prevent IT personnel from processing sensitive information directly to ensure the business secrets and personal information security.
Viewers are forbidden from downloading the R&D-related documents, but allowed to access the same online. Meanwhile, with the watermark, even if the documents are reproduced by mobile fine, the viewer’s name will be reproduced altogether, so as to resolve the risk over data disclosure effectively.
